JOB PURPOSE
This role is responsible for supporting crude receipt, offloading, inventory control, documentation management, reconciliation preparation, and operational reporting activities at KPRL.
The role provides operational and administrative support to the Operations Superintendent, ensuring accurate records, timely reporting, document control, and coordination of routine operational activities while maintaining compliance with approved procedures.
MAIN DUTIES & ACCOUNTABILITIES
Receipt & Offloading Support
Monitor truck arrivals, offloading schedules, and receipt activities.
Track truck turnaround times and receipt performance.
Support coordination of truck movement between marshalling yards and receiving facilities.
Monitor operational status and communicate emerging issues to the Operations Superintendent.
Documentation Management
Maintain receipt documentation.
Ensure documentation packages are complete and properly filed.
Maintain document registers and document control systems.
Inventory & Reconciliation Support
Prepare daily stock movement summaries.
Update inventory, receipt, and transit loss registers.
Compile tank reconciliation and water reconciliation reports for review.
Support stock verification activities and maintain supporting records.
Operational Reporting
Prepare daily, weekly, and monthly operational reports.
Maintain KPI performance trackers and operational dashboards.
Update receipt, inventory, quantity, and stock movement databases.
Generate routine operational statistics and reports.
Surveyor & Contractor Coordination
Coordinate surveyor attendance and operational visits.
Facilitate exchange of operational documentation between KPRL, surveyors, transporters, and Midstream Operations.
Track action items arising from operational meetings and inspections.
Compliance & Records Management
Maintain operational filing systems and audit records.
Ensure operational records remain complete, current, and retrievable.
Support audits, inspections, investigations, and compliance reviews.
Promote compliance with approved procedures and operational controls.
EDUCATION AND TRAINING
Qualifications & Experience
Degree or Diploma in Logistics, Supply Chain Management, Business Administration, Operations Management, Accounting, or related discipline.
Minimum 3–5 years' experience in depot operations, inventory control, logistics administration, stock management, or operational reporting.
Experience in oil & gas, fuel logistics, terminal operations, or similar operational environments is preferred.
Experience in documentation control, reconciliation, and reporting activities.
